Employee data was traditionally stored manually in chunky files which occupied space and made finding information a tedious task. With Employee Information System, the personal information of all employees is stored in easy to view tabs. Not only this, every employee has access to their personal and employment documents such as passport, work permit, national ID etc. A manager can view the personal files of his team with ease without having to request for details from HR.
The personal data of all the employees who are currently with the organization is stored in this module. This includes current information as well milestones in the career journey with the company. Vital information like the educational background, skills, contact details, company information, and salary transfer bank account is all stored.
In a separate sub-module called ex-employees all the ex-employee details are preserved in the data base-drop down, single-select menu.
New Recruits – There are two different ways of entering the information of the new employee in our Employee Information System. The first and the simpler way is to onboard a selected employee from the recruitment portal. The second is to enter all the personal and employment details of the new recruit as a one-time procedure and save the information.
This segregation of employees under probation serves the purpose of tracking the probationary assessment of employees. On successful completion of probation, an employee is confirmed and moves from this tab to the current employees.
All the records of employees’ promotion or demotion are maintained in this module. This includes the date, previous designation to the new designation details, any associated changes like grade change, salary increment etc. These details are captured in the milestones of the employee’s journey with the company.
All employee grievances that are sought to be addressed can be viewed here. The grievance redressal follows the same approval flow right up to the top and finally comes to HR for intervention to ensure compliance with the policy of fairness and transparency.
All the records of transfers from one company to the other, one location to the other or re-designation throughout the employment are entered and maintained here. Search facilitates looking for some particular employee.
Configure & track all the informational, appreciation, disciplinary letters issued to an employee. The official letters are issued from pre-defined, editable templates and can be added by the users. The system is programmed to issue hard copies if required. The system issued letters are copied to the manager also and serve as proof for any labour law conflict.
All details of severance or separation such as type – resignation, termination, end of term, retirement, the date, reason for leaving etc. can be entered in this module. There is a built-in feature of selecting the notice period and accordingly, the last working day is generated by our Employee information System. The records of separation are maintained and can be pulled out at any given time.
